How we handle the information you share with us, in plain language. Last updated August 2026.
Outwrite Music Pvt. Ltd. ("Outwrite", "we", "us") respects your privacy. This policy explains what we collect when you use this website or submit a form, why we collect it, how long we keep it, and the choices you have. It is written to meet India's Digital Personal Data Protection Act, 2023, under which Outwrite is the Data Fiduciary for the information described here.
1. Information we collect
We only collect what you choose to give us. When you use our submission form, contact form, careers form, or email us, we may collect:
- Your name and the contact details you provide (email address, and where given, phone number or social handles).
- The contents of your message, enquiry type, and any links or material you submit, including links to your music.
- Audio files and any attachments you upload to us, along with the metadata that travels with them, such as file name, size and format.
- Where relevant to the enquiry, the city you are based in and the details you give about your act or company.
- Basic technical data your browser sends automatically, such as device type and approximate location, used only to keep the site secure and working.
We do not ask for identity documents, financial details or any special category data through this website. Please do not send them through our forms.
2. How we use it, and on what basis
- To respond to your enquiry, review submissions, and consider opportunities to work together.
- To communicate with you about your request and, where relevant, our services.
- To maintain, protect and improve the website.
Our basis for processing is the consent you give when you choose to send us your details, and our legitimate business interest in keeping records of the enquiries we receive. You can withdraw consent at any time, as set out in section 8.
We do not sell your personal information, we do not share it for advertising, and we do not use your submissions to train any machine learning model.
3. Forms, files and the services we use
Enquiries submitted through our forms are delivered to us by email at info@outwrite.in and held in our own email and business records.
Audio files you upload with a music submission are handled differently, because files cannot travel by email. They are stored and transcoded for review by matra (matra.cloud), our submission platform, acting as our processor on our instructions and for our use only. Unreleased material is not published, not shared outside Outwrite, and not used for any purpose other than reviewing your submission.
Pages on this site embed Spotify players and link to Instagram, LinkedIn, YouTube and partner sites. Those services operate under their own policies and may set their own cookies and collect usage data when you interact with them. We encourage you to review their respective policies.
Our site and forms are served from infrastructure operated by our hosting and network providers, who process technical data such as IP address in order to deliver and secure the site.
4. Cookies and analytics
This site uses Google Analytics 4 in cookieless consent mode to understand aggregate traffic and journeys: page and roster views, navigation tabs, filters, form stages, successful or failed submissions, outbound clicks, engagement and page performance. Public roster profile slugs are sent so we can count interest in each published profile. On the public discography, we send an internal catalogue item index, credit type, public genre, mood or language facet, result count and bucket, page number, shortlist action, and whether a search was used with a coarse query-length bucket. This lets us understand which catalogue journeys lead to a licensing brief without sending song titles, artist names, search text or Spotify IDs. Analytics storage, advertising storage, Google Signals and ad personalisation are denied. We never send form answers, personal names or contact details entered in forms, uploaded file names or private music metadata to Google Analytics. Google may process basic device, browser and approximate-region signals when receiving an event, but Outwrite does not give Google a persistent analytics identifier for this site. Embedded media and interface preferences may still use their own necessary storage. The site does not run advertising or retargeting trackers and continues to work if analytics is blocked.
5. Who can see it
Inside Outwrite, access is limited to the people whose job requires it: the desk reviewing your submission, or the team handling your enquiry. Outside Outwrite, we share only with the service providers named in section 3, with our professional advisers where we need advice, or where the law requires it. We do not otherwise disclose your personal information to any third party, and we do not transfer it to any country the Government of India has restricted.
6. How long we keep it
We keep what you send us only while it is still doing the job you sent it for. We review what we hold periodically rather than deleting on a fixed automatic schedule, so the timings below are working guides rather than guarantees:
- Music submissions and uploaded audio: around a year is typical, so we can revisit an artist as our roster and briefs change. If we are in active discussion with you, we keep it while that discussion is live.
- Enquiries, briefs and correspondence: usually a few years, as part of our ordinary business records.
- Career applications: around a year is typical, so we can come back to you when a role opens.
- Anything that becomes part of a signed agreement: for as long as that agreement and the law governing our books require.
Something may sit with us a little longer than the guide if it is still relevant, and we would rather tell you that than publish a promise we do not keep automatically. What is not a guide: if you ask us to delete your submission or your details, we will do it and confirm when it is done.
7. Children
If you are under 18, use our forms only with the consent of a parent or guardian, and give us their contact details when you submit. We do not knowingly process a child's personal data without verifiable parental consent, we never use it for tracking, behavioural monitoring or advertising, and we will delete it promptly if we learn we have collected it without that consent.
8. Your rights
Under the Digital Personal Data Protection Act, 2023, you have the right to:
- Ask what personal data of yours we hold and how we have processed it.
- Have inaccurate or incomplete data corrected, updated or completed.
- Have your data erased, unless we are required to keep it by law.
- Withdraw your consent at any time, as easily as you gave it, which stops any further processing that relied on it.
- Nominate another person to exercise these rights on your behalf if you die or become incapacitated.
- Raise a grievance with us, and escalate to the Data Protection Board of India if you are not satisfied with how we handled it.

9. Grievance Officer
If you have a complaint about how we have handled your personal data, you can write to our Grievance Officer, who is responsible for answering it:

We acknowledge every grievance and aim to resolve it within 30 days. If we do not resolve it to your satisfaction, you may complain to the Data Protection Board of India.
10. Keeping it safe
We use access controls, encrypted transport and reputable providers to protect what you send us, and we limit internal access to the people who need it. No system is perfect, and if a breach affects your personal data we will notify you and the Data Protection Board of India as the law requires.
